Terms and Conditions for Arp-Hansen Hotel Group A/S

Reservation
A reservation is binding on both parties once a written confirmation has been issued by Arp-Hansen Hotel Group A/S (hereinafter referred to as the “Hotel”). When booking via the Hotel’s website or booking system, a booking confirmation is automatically sent by e-mail, upon which the agreement becomes binding.
Upon reservation, a credit card guarantee is required. The first name and surname stated in the reservation must correspond with the guest’s valid photo identification and the credit card presented at check-in. The Hotel reserves the right to pre-authorise an amount on the specified credit card as security for the reservation. The reserved amount will be released by the card issuer after completion of the stay. The timing of such release depends on the card issuer and the relevant bank.
The cancellation and payment terms depend on the selected offer and are stated during the booking process and in the subsequent booking confirmation.
The Hotel welcomes special requests regarding room layout and location, including, but not limited to, bedding configuration, view, and floor level. Such requests cannot be guaranteed and will only be confirmed at check-in.
Prices and payment
All prices are stated in Danish kroner (DKK) and include VAT and service charges unless otherwise specified. Prices are dynamic and depend on date, demand, and availability. The price is only guaranteed once the booking confirmation has been issued.
The Hotel reserves the right to amend prices and terms without prior notice; however, such amendments shall not apply to reservations already confirmed.
Payment may be made using credit cards and payment methods accepted by the Hotel at any given time. Corporate agreements or payment by invoice require prior approval.
In the event of late payment, interest and reminder fees shall be charged in accordance with the Danish Interest Act (Renteloven), unless otherwise provided for in a specific corporate agreement or agreed payment terms.
Credit card fees
A credit card surcharge may be applied when payment is made using certain corporate or foreign credit cards.
Amendments and cancellation policy
Only reservations made via Arp-Hansen Hotel Group’s own websites may be amended or cancelled by direct contact with the Hotel or via our central booking department by telephone or e-mail.
It is not possible to transfer a reservation to another hotel within the Arp-Hansen chain. Such transfer shall be deemed a cancellation of the original booking and requires a new reservation.
Amendments to a reservation may only be made up to 12 months from the originally booked arrival date. It is therefore not possible to move a reservation to a date more than 12 months in the future.
Upon cancellation, a confirmation will be sent to the registered e-mail address. This confirmation constitutes your documentation that the reservation has been cancelled.
Reservations made through third parties
Reservations made through third-party providers or online travel agencies are subject to the terms and conditions of the relevant provider. Amendments, cancellations, and any refund claims must therefore be handled directly with the relevant provider.
The Hotel is not a party to the agreement between the guest and the third-party provider and is therefore unable to amend, cancel, or refund such reservations.
Prepaid reservations
For prepaid reservations made via our website, the full amount will be charged to the specified payment card at the time of booking. Such reservations cannot be amended or cancelled, and the prepaid amount is non-refundable.
In exceptional cases where an amendment is nevertheless accepted, this must be arranged by direct contact with the Hotel or Arp-Hansen Hotel Group’s central booking department. An amendment fee of
Changes to, for example, dates, number of nights, or number of persons may result in a change of room rate. Availability of specific dates and/or room categories is subject to availability. Any price reductions resulting from an amendment will not be refunded.
Reservations without prepayment
For reservations without prepayment made via the Hotel’s website, amendments and cancellations may be made free of charge until 12 noon (local time) on the arrival date.
Amendments and cancellations may be made via the Hotel’s website, by direct contact with the Hotel, or via Arp-Hansen Hotel Group’s central booking department.
In the event of amendment or cancellation after this deadline, or in the event of no-show, the price of the first night will be charged to the specified credit card.
Changes to date, duration of stay, or number of persons may result in a change of room rate. Availability of specific room categories and/or periods is subject to availability.
Special prepaid stays and events
Prepaid stays booked in connection with events, concerts, or special arrangements are binding and cannot be amended, cancelled, or refunded after the reservation has been made, unless otherwise expressly agreed in writing.
Financial liability for special expenses
If the Hotel has incurred extraordinary expenses specifically related to your reservation (e.g., external services or prepaid services), the Hotel reserves the right to claim reimbursement thereof, including in the event of amendment or cancellation.
Check-in and check-out
The room is at your disposal from 3PM on the arrival date until 12 noon on the departure date (however at 11AM for Wakeup hotels). Failure to comply with the check-out time entitles the Hotel to charge for an additional night at the applicable daily rate.
Valid photo identification must be presented at check-in, and the details must correspond with the name stated in the reservation.
If check-in does not take place on the arrival date, the right to the remaining nights of the reservation shall lapse. If you wish to make use of the reservation after the original arrival date, you must contact the Hotel in writing (by e-mail) or by telephone no later than on the original check-in date. This applies to all types of reservations.
Failure to check in without prior contact with the Hotel will result in cancellation of the entire reservation without entitlement to refund, reimbursement, or any other compensation.
Groups
The prices stated on the website apply to individual reservations. If 10 or more rooms are reserved for the same period and hotel, this shall be considered a group booking. This entails amended prices and general terms, including, inter alia, cancellation and payment terms.
In such cases, the Hotel will issue a group contract which must be signed before the reservations can be confirmed.
Use of Rooms
Rooms and other facilities may only be used for ordinary accommodation purposes in accordance with the purpose of the reservation.
Use of rooms or hotel facilities for commercial purposes, including – but not limited to – recording, production, or marketing of photo, video, or other media material, events, business activities, or similar activities, is prohibited without the Hotel’s prior written consent.
Any unauthorised commercial use shall constitute a material breach and may result in immediate termination of the stay without refund and liability for damages in accordance with the general principles of Danish law.
Guest liability and damages
The guest is liable for any damage caused to the Hotel’s buildings, inventory, or other guests’ property as a result of negligence, accident, or wilful misconduct. The person in whose name the reservation is made is responsible for all matters and damages caused by themselves and by other persons covered by the reservation.
In the event of unacceptable or disruptive behaviour, including violation of the Hotel’s house rules, safety regulations, or generally accepted standards of conduct, the Hotel reserves the right to refuse the guest upon arrival or expel the guest from the Hotel with immediate effect and charge the full reservation amount without refund of any amounts already paid.
The Hotel is not obliged to refund payment for interrupted stays resulting from the guest’s conduct.
Lost property
Forgotten items will be stored for up to one (1) month. Shipment will be arranged subject to payment of shipping costs and handling fees. The Hotel disclaims any liability for lost or forgotten property.
Mediation of services from external partners
The Hotel may arrange services provided by external partners. Such services are delivered and managed solely by the respective partner, who bears sole responsibility for their performance.
Any questions, amendments, or complaints regarding such services must be addressed directly to the partner concerned.
Such services may be included as part of your booking – either as an add-on in connection with the reservation, as an integrated part of the room rate, or as a separate agreement if you have requested the Hotel to make the booking on your behalf prior to your stay.
Guests under 18 years of age
Guests under the age of 18 must be accompanied by a parent, legal guardian, or other responsible adult throughout the hotel stay.
Force majeure
The Hotel shall not be liable for circumstances beyond its control, including, but not limited to, war, natural disasters, pandemics, strikes, or governmental orders. In such cases, the Hotel reserves the right to cancel or amend reservations without compensation.
Personal data and data protection
Arp-Hansen Hotel Group processes personal data in accordance with applicable data protection legislation and the Hotel’s privacy policy, which is available on the Hotel’s website.
By making a booking, the guest accepts that the Hotel processes the submitted personal data for the purpose of administering the reservation and maintaining necessary communication in relation to the stay.
Information regarding the processing of personal data and the guest’s rights is set out in the Hotel’s privacy policy.
Complaints and dispute resolution
Any complaints during the stay must be submitted immediately to the Hotel’s reception to enable the Hotel to remedy the matter without delay.

Governing law and jurisdiction
Any dispute arising in connection with these Terms and Conditions shall be brought before the Copenhagen City Court, unless otherwise required by mandatory consumer protection legislation.
